Position Description:

Responsible for logistical support of the daily flight operations of Alerion Jet’s flights. The Ideal candidate will be an entrepreneurial self-starter with a strong focus on customer service. Candidate should have excellent written and verbal communications skills, ability to multitask and a good understanding of business aviation operations We are looking for individuals that can work independently & are self-motivating, outgoing, well-organized & personable.  Individual position will be required to work in a Team atmosphere and liaise with colleagues at Alerion and across multiple departments.

Position Requirements:

Responsibilities:

  • Upload trip information into scheduling system, Avianis
  • Sign off on vendor contracts as directed by Alerion Jets VP of sales
  • Ensure vendor information is accurate and complete
  • Review and compare flight itineraries to ensure contract terms match vendor terms
  • Communicate with clients to get necessary trip details. (catering, ground trans, manifest, etc.)
  • Secure ground transportation, catering as well as any as other special requests
  • Manage changes to flight itineraries and manifests
  • Day of flight activities
  • Run ARG/US trip cheqs
  • Confirm with operator/FBO flight details (Weather issues, catering and ground all set up and delivered
  • Communicate with client flight alerts. (Weather, Aircraft movement updates with clients, assistant etc.); Verify aircraft and crew in position, verify catering delivery, verify ground transportation in position
  • Update client profiles to ensure accurate information is in our system. (Cell phones, emails, special requests, client preferences and allergies, etc.
  • Ensure invoices are sent to client
  • Assist accounting in getting W-9’s, securing payments, Credit Card holds and releases
  • Maintain all vendor operator vetting files and documentation. Ensure vendor additional insured is completed for each vendor
  • Perform checks and balances on each flight to make sure all financial, trip and logistics issues are in order
  • Perform Quality assurance functions to make sure AJ service standards are met
  • Consistently review, evaluate and develop processes as necessary to ensure each flight is executed flawlessly
  • Assist sales in maintaining trip request status board

Desired Skills:

  • Minimum 2 years of charter sales experience is preferred
  • Be willing to carry a mobile phone or other similar communications & be accessible 24/7; as needed
  • Demonstrate customer service skills with the ability to multi-task in a high-pressure environment
  • Have an entrepreneurial, high energy attitude and ability to approach new tasks with creativity and energy
  • Excellent phone demeanor, with ability to set priorities. Not afraid to be on the phone all day
  • Must possess effective communication, organization, presentation, & administrative skills
  • Must have an energetic, friendly & outgoing personality
  • Ability to multi-task, collect & analyze data, define problems, establish facts & draw valid conclusions in a timely manner
  • A strong customer service methodology and discipline
  • Willing to work after-hours if needed or be assigned as an on-call person in rotation with other personnel to include weekends and holidays
  • Must have a friendly and outgoing personality
  • A working knowledge of aircraft operations, regulations, and support
  • An Aviation business or operational background is strongly preferred, including the ability to administer and oversee high-dollar value contracts.
  • Ability to work effectively in a cross-functional team
  • Ability to maintain strict client confidentiality
  • Knowledge of Microsoft Word, Excel, PowerPoint Outlook and Adobe
  • Knowledge of Avianis/FOS/BART or Jet Insight is preferred
  • Must be willing to travel as directed by management in efforts to represent the company
